This policy explains what personal data we collect through this website, why we collect it, how long we keep it and what rights you have. It is written to match how the site actually works; if we change the site, we update this policy.

What we collect and why
Contact form enquiries
When you send an enquiry we collect the enquiry type, your name, email address, company or publication and, for publisher enquiries, your website address and main audience markets, together with any details you choose to write. We use this information to assess your enquiry, respond to you and, where a conversation continues, to prepare a proposal. The legal basis is our legitimate interest in responding to business enquiries and, where a contract follows, taking steps to enter into it.
To protect the form against automated abuse, the server also records the time the form was opened and submitted and a limited technical fingerprint (IP address and user agent) used only for rate limiting and spam filtering. These technical records are kept separately from the enquiry for a short period and then deleted.
Email correspondence
If you email us directly, we keep the correspondence for as long as needed to deal with the matter and, where relevant, for the duration of the business relationship.
Analytics (only with your consent)
If you accept analytics in the cookie preferences, we use Google Analytics 4 to understand which pages are used and how visitors move through the site. Analytics loads only after you opt in and can be switched off at any time via “Cookie Settings” in the footer. We configure analytics events so that no names, email addresses, website URLs or form contents are sent; only page paths, enquiry type categories and event names are recorded. The legal basis is your consent.
WhatsApp, LinkedIn and the map
If you contact us through WhatsApp, your messages are transmitted and stored by WhatsApp (Meta Platforms) under its own terms and privacy policy; we see your name as shown in WhatsApp and your number, and we keep the conversation for the same period as email correspondence. Our LinkedIn page is operated under LinkedIn's terms. The map on the Contact page is loaded from Google only when you click to request it, as described in our Cookie Policy.
Server logs
Our hosting provider records standard server logs (IP address, requested URL, timestamp, user agent) to operate and secure the service. Logs are retained for a limited period set by the provider and are not used to identify visitors.
Who receives your data
Enquiries are delivered to our corporate email and stored in our enquiry records or customer relationship management system so that the relevant team can respond. We use service providers for hosting, email delivery, enquiry storage and, if you consent, analytics. Providers act on our instructions under data processing agreements. We do not sell personal data and do not share it with advertisers.
Before publication: the names of the hosting, email delivery, CRM and analytics providers in use are to be confirmed and listed here by the company, together with the locations in which they process data.
International transfers
Where a provider processes data outside your jurisdiction, we rely on appropriate safeguards such as adequacy decisions or standard contractual clauses. Details are available on request.
How long we keep data
Enquiries that do not lead to a business relationship are kept for up to 24 months from the last contact and then deleted. Where a relationship follows, correspondence and contract documentation are kept for the duration of the relationship and afterwards as required by law. Rate-limiting and anti-abuse records are deleted within 30 days. Analytics data is retained according to the retention period configured in Google Analytics, which we set to the shortest available option.
Your rights
Depending on where you are, you may have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format and to withdraw consent at any time where processing is based on consent. To exercise any of these rights, email partnerships@tallwood.media. You also have the right to lodge a complaint with your data protection authority.
